Job Description

Job Summary

The Assistant Manager/Deputy Manager – Admin will be responsible for overseeing the overall administrative operations of the Head Office. The role ensures smooth office operations, efficient resource management, compliance with company policies, and effective coordination with internal departments, vendors, and government authorities.

Key Responsibilities

Administrative Operations

  • Ensure the smooth day-to-day administrative operations of the Head Office.

  • Develop, implement, and monitor administrative policies and procedures.

  • Supervise office support staff, reception, housekeeping, and office assistants.

  • Ensure proper maintenance of office facilities, furniture, equipment, and office assets.

  • Monitor office cleanliness and maintain a safe, organized, and professional working environment.

Facility & Asset Management

  • Manage office space allocation and infrastructure requirements.

  • Maintain records of company assets and coordinate periodic asset verification.

  • Oversee repair and maintenance of office equipment, electrical systems, air conditioning, generators, lifts, and other utilities.

  • Coordinate office renovation and infrastructure improvement projects when required.

Vendor & Service Management

  • Manage contracts and relationships with vendors, suppliers, and service providers.

  • Negotiate prices, service agreements, and annual maintenance contracts.

  • Ensure timely procurement of office supplies and administrative materials.

  • Monitor vendor performance and ensure quality service delivery.

Security & Compliance

  • Ensure office security systems, CCTV, access control, and visitor management are functioning properly.

  • Coordinate with security agencies and ensure compliance with security protocols.

  • Liaise with government authorities regarding trade license renewal, fire license, utility services, and other regulatory matters.

  • Ensure compliance with company policies and legal requirements.

Canteen Management

  • Oversee the overall operation of the Head Office canteen to ensure efficient service and hygiene standards.

  • Ensure the availability of quality food and beverages for employees and guests.

  • Monitor food quality, cleanliness, and compliance with health and safety regulations.

  • Coordinate with canteen vendors or service providers regarding menu planning, pricing, and service quality.

Experience

  • At least 5 years
  • The applicants should have experience in the following business area(s): Manufacturing (FMCG), Group of Companies

Education

  • Bachelor's or Master's degree in Business Administration, Management, or a related discipline.
